01 Scope
This Privacy Policy describes how Harbor Coaching & Consulting LLC ("Harbor Coaching," "we," "us," or "our") collects, uses, and protects information when you visit our website, inquire about our services, or engage us for coaching.
Harbor Coaching provides coaching and consulting services. We are not a licensed mental health provider under HIPAA, and the protections described here are coaching-confidentiality protections — not clinical ones. If you require clinical mental-health care, we will refer you appropriately.
02 What we collect
We collect only what we need to run the engagement. Depending on how you interact with us, this may include:
- Contact information you submit through our lead form or booking calendar (name, email, phone, partner name).
- Intake information you share during a Triage Call, Structural Audit, or coaching session.
- Engagement records created during the work itself — session notes, your Harbor Guide, written deliverables.
- Payment information processed securely through Stripe — we do not store full card numbers on our systems.
- Basic website analytics (page views, referring sites) to understand how the site is used.
03 How we use it
We use your information to:
- Schedule and deliver calls, sessions, and the 14-Day Reset.
- Communicate with you about your engagement — appointment reminders, session follow-ups, and the Harbor Guide.
- Process payments and maintain accurate business records.
- Improve our services and respond to questions.
We do not sell your information. We do not share it with advertisers or data brokers. We do not use it to train third-party AI systems.
04 Coaching confidentiality
Individual sessions within the Harbor Reset are held in coaching confidentiality. What you share in a one-on-one session is not repeated to your partner without your explicit agreement.
However, coaching confidentiality is not absolute. It may be broken if:
- There is a credible risk of imminent harm to yourself or another person.
- Disclosure is required by a court order or subpoena.
- Required reporting laws apply (such as suspected abuse of a minor or vulnerable adult).
We will tell you up front if any of these conditions apply to your situation.
05 Who we share it with
We share limited information with the tools we use to run the business:
- GoHighLevel — our CRM, calendar, email, and SMS platform.
- Stripe — payment processing.
- Google Workspace — email and document storage.
- Netlify — website hosting.
These providers process data only on our behalf and are contractually bound to protect it.
06 Cookies & analytics
Our website uses minimal cookies for core functionality (session persistence, the booking calendar widget). We use privacy-respecting analytics to understand which pages are viewed — we do not track you across the web.
You can disable cookies in your browser at any time without affecting your ability to book or engage with us.
07 Retention
We retain engagement records (session notes, Harbor Guides, invoices) for the period required by applicable business-records and tax law. After that period, records are deleted or fully anonymized.
You may request deletion of your contact information at any time — see Your Rights below.
08 Your rights
You have the right to:
- Request a copy of the personal information we hold about you.
- Request correction of inaccurate information.
- Request deletion of your contact information.
- Withdraw consent for marketing communications at any time.
- Lodge a complaint with a relevant data protection authority.
To exercise any of these rights, email jonathan@harborcoaching.com.
09 Security
We take reasonable technical and organizational measures to protect your information: encrypted storage, authenticated access, and limited personnel. No system is perfectly secure, and we will notify you promptly if a breach occurs that affects your information.
10 Contact
